VaultsHive Terms of Service
Effective date: September 21, 2026
Last updated: October 1, 2026
These Terms of Service (“Terms”) govern your access to and use of VaultsHive’s websites, mobile applications, and related services (collectively, the “Service”) offered by HiveApp Technologies LLC, a Texas limited liability company (“VaultsHive,” “we,” “us,” or “our”).
1. Agreement and eligibility
By creating an account, accessing, or using the Service, you agree to these Terms and our Privacy Policy. If you do not agree, do not use the Service.
1.1 Global compliance (age and consent)
You must be at least 13 years of age to use VaultsHive. However, if you reside in a jurisdiction where the minimum age for providing consent to data processing is higher (for example, 14, 15, or 16), you must meet that minimum age to create an account without parental consent.
Parental consent (ages 13 through the age of majority). For users between 13 and the age of majority in their jurisdiction (typically 18), your use of VaultsHive is subject to parental or guardian consent where required by local law. By using the Service, you represent that you have obtained such consent if necessary under the laws of your state or country.
1.2 Capacity
You represent that you are legally able to enter into a binding contract. If you use the Service on behalf of an organization, you represent that you have authority to bind that organization.
1.3 Registration, phone number, and OAuth
You may create or sign in to a Hive account with email and password or with Sign in with Google or Sign in with Apple (where offered on that platform). Finishing registration requires the profile fields described in-product (including date of birth). A mobile phone number is optional. You may also access certain features through web browsers. You agree that contact, security, billing, and product messages may be sent to the email (and phone number, if you add one) associated with your account, including transactional email from [email protected] (that mailbox is not monitored; use [email protected] for support).
Google’s and Apple’s own terms apply to their sign-in buttons. VaultsHive receives only the identity information those providers release to complete authentication, as described in the Privacy Policy.
1.3a The Hive network (AlbumHive, VaultsHive, LooksHive)
VaultsHive is one app in the Hive network. AlbumHive, VaultsHive, and LooksHive share one Hive identity (same email, password, or OAuth sign-in). SlamHive is independent — its own users, auth, and delete — and is not covered by these Terms as a Hive sibling.
- Sign-in. The same Hive credentials work in all three Hive apps. Signing up in AlbumHive or LooksHive does not provision VaultsHive product data; the first session in VaultsHive creates this app’s vaults, credits, and folders.
- Storage. Hive storage (GB) is purchased and managed in AlbumHive. Billable files in VaultsHive and LooksHive count against the same Hive quota. VaultsHive paid packs are analysis credits and features, not extra storage.
- Share links. VaultsHive share-link counts and durations follow your Hive / AlbumHive storage entitlement. Vaults, albums, and Looks libraries stay in the app where you created them in the current product.
- Suspend is per app (§14.4): it turns off that app only; the other Hive apps keep working, and Hive storage (and AlbumHive share-link entitlements, where they still apply) remain so siblings can keep using the shared quota. Delete account is Hive-wide (§14.5): deleting from any of the three Hive apps wipes AlbumHive, VaultsHive, and LooksHive only — not SlamHive. Cancelling Stripe, Google Play, and App Store billing after delete is your responsibility; our cancel is best effort only.
- Each Hive app publishes its own Terms and Privacy Policy. Identity, suspend-per-app, and Hive-wide delete stay the same in all three.
1.4 Changes to these Terms
We may modify these Terms by posting an updated version and updating the “Last updated” date. Where required by law, we will provide additional notice. Your continued use after the effective date of changes constitutes acceptance unless applicable law requires otherwise.
2. Description of the Service
VaultsHive provides tools to upload, organize, search, analyze, collaborate on, and share documents and related files in vaults (collections of artifacts), including features such as (names may appear in the app’s More menu and elsewhere):
- Vaults for documents and artifacts (for example PDF, Office files, images, text/code, and other supported types as offered in-product; video or audio may be limited or use different features such as speech-to-text)
- Secure sharing via share links and access controls, including collaboration with groups and vault contributors
- Comments, reactions, activity notifications, and related social features where enabled
- Local preview processing (on VaultsHive infrastructure) such as text extraction, OCR, thumbnails, and (for images) related computer-vision signals used for preview, Hive Search, and preparation for analysis
- Public AI Analyze (and related AI features), which may send derived extracts, OCR text, labels, and similar analysis inputs to a third-party / public LLM only when you start Analyze or leave an in-product analyze option enabled that you can turn off — see §3
- Hive Help (in-app how-to chat assistant), which answers VaultsHive product questions; typed prompts may be processed by a third-party AI provider as described in §3.2
- Hive Reminders created from dates found in analyzed documents (and custom reminders where offered)
- Hive Search (More → Hive Search): search across your vaults by keyword, filename, extracted / OCR text, Public AI Analyze fields (where Analyze has run), and visual similarity for eligible image artifacts. You may optionally limit search to owned or shared vaults. Hive Search is not a face- or people-search product
- Collages you create from Hive Search results (and related share flows)
- Speech-to-text / text-to-speech where offered, which may consume additional credits
- Analysis credit packs, ads-free windows, and related feature entitlements (see §11)
- Sign in with Google and Sign in with Apple where offered
- Push notifications on phones when you allow them (including while the app is not open)
- Third-party ads on Free Vault and when a paid ads-free window is not in effect (see §11.9)
- Profile and account settings, including optional profile photo handled through the shared Hive identity path where implemented
- Support channels (for example Contact / help flows)
- Phone verification delivered through Twilio or similar providers
Features may change over time. We do not guarantee that any particular feature will always remain available.
Hive storage GB. VaultsHive usage counts against shared Hive storage metered with your Hive identity. Additional Hive storage capacity is sold through AlbumHive (Hive Subscriptions), not as VaultsHive storage IAP. VaultsHive paid offerings are features and analysis credits, not selling AlbumHive storage GB inside VaultsHive.
Not a backup. VaultsHive is not a backup, archival, or disaster-recovery product. Keep your own originals (see §5.3 and §13.1).
3. Third-party services (AI, verification, email, ads, push, sign-in)
The Service relies on third-party providers, including without limitation:
- OpenAI (or comparable public large-language-model APIs) for Public AI Analyze and Hive Help chat — see §3.1 and §3.2
- Twilio (or similar) for SMS or voice verification of phone numbers
- Zoho Mail (or similar) for sending transactional email from [email protected] (e.g., account, security, billing, and product notifications)
- Google for Sign in with Google, Google Play billing, AdMob ads, and FCM push (where offered)
- Apple for Sign in with Apple, App Store billing, and APNs push (where offered)
- Expo for delivering push notifications to our mobile apps
- Stripe for payments on the web (including one-time credit pack Checkout)
- Google Cloud Platform for hosting application infrastructure
- Cloudflare for global delivery and infrastructure, including where used: Load Balancing (LBaaS), CDN, R2 object storage, Turnstile, and related edge/security services
- MongoDB Atlas for application databases (VaultsHive product data; Hive identity and storage meter on the AlbumHive database)
Your use of those providers may also be subject to their terms and privacy policies. AI outputs may be inaccurate or incomplete. AI features are not professional advice (legal, medical, financial, tax, compliance, or otherwise). Do not rely on AI Analyze results as a substitute for reading the source document or obtaining qualified advice. Email and SMS delivery may fail or be delayed due to factors outside our control.
3.1 Public AI Analyze, sensitive data, and public LLMs
You control what is sent for Public AI Analyze. VaultsHive does not send your vault documents to a public LLM on its own. Public AI Analyze runs only when you start it (or leave an in-product analyze option enabled that you can turn off). Local preview (extract, OCR, thumbnails, search indexes) runs on VaultsHive infrastructure and is not a public LLM.
Sensitive / personal information. Public AI Analyze uses a third-party / public large language model. If a document contains sensitive personal information and you choose to analyze it, that content (or extracts of it) may be processed by the public LLM under their terms. Do not use Public AI Analyze on content you are not permitted to process that way.
VaultsHive is not a PCI, HIPAA, or similar certified compliance environment. Do not use the Service as a system of record for payment-card, protected-health, or other regulated data.
What Local preview does. Local preview runs on VaultsHive’s and its non–third-party-LLM infrastructure (for example native text extract, OCR, and image analysis). Local preview is used to power Artifact Preview, Hive Search signals, and to prepare inputs for Public AI Analyze.
What Public AI Analyze may send. When you confirm Public AI Analyze (or a similar feature you have enabled), VaultsHive may transmit to a third-party AI provider (for example OpenAI):
- Extracted text / OCR and related Local outputs
- Object labels or similar derived signals (for image artifacts)
- File/page metadata reasonably needed for the job (for example page-equivalent counts)
- Other analysis inputs the product discloses in-app at the time of the request
VaultsHive does not intend to attach your account profile personal information (such as name, email, phone number, or account ID) to those API requests under the current design. The contents of your documents and derived extracts may contain personal data; if you run Public AI Analyze, that content may be processed by the AI provider under their terms and privacy policy.
Credits. Public AI Analyze and certain Local / related jobs consume analysis credits as described in-product and in §11.
Model training. Where vendor controls are available, we configure API usage so that we do not permit the vendor to use submitted data for model training under our account settings. Vendor retention, abuse monitoring, and subprocessors remain governed by the vendor’s published terms.
If VaultsHive changes how AI features work (for example sending full original files, or new vendors), we will update these Terms and the Privacy Policy and, where required, provide additional notice or consent.
3.2 Hive Help and OpenAI (typed how-to chat)
Hive Help is VaultsHive’s in-app how-to chat (More → Hive Help). It answers questions about using VaultsHive from our help library and related routing.
Hive Help is not intended for processing sensitive personal data. Do not enter passwords, payment card numbers, government IDs, health details, or other sensitive information in Hive Help prompts (the product displays a notice on the Hive Help screen).
As of the Last updated date, VaultsHive does not send your vault documents or other User Content to OpenAI for Hive Help chat. VaultsHive does not intend to attach your account profile personal information (such as name, email, phone number, or account identifiers) to Hive Help API requests under the current design.
Your typed prompts are processed by OpenAI (or a comparable provider we designate). If you voluntarily include personal data in a prompt, that content may be processed by the provider under their terms and privacy policy.
Hive Help outputs may be inaccurate or incomplete and are not professional advice.
If VaultsHive changes how Hive Help works (for example features that analyze User Content with a vendor), we will update these Terms and the Privacy Policy and, where required, obtain additional consent or notice.
3.3 Push notifications
On iOS and Android, VaultsHive may ask for permission to send push notifications so we can alert you when the app is in the background or not running (for example share, comment, reminder, billing, or security events). Delivery uses Expo Push, APNs, and/or FCM. Permission is optional; you may decline or disable it in system settings. Web does not use the same OS push path.
4. Accounts, credentials, and fair use of access
You must provide accurate registration and billing information where applicable. Misrepresentation may result in suspension or termination.
You are responsible for safeguarding your password, OAuth sessions, and credentials. VaultsHive may apply technical limits intended to reduce abusive account sharing (for example, limits on concurrent authenticated sessions per account, per-app device identifiers, and related security notifications). Those measures do not guarantee that password sharing or unauthorized use will be detected or prevented. VaultsHive device slots are independent of AlbumHive and LooksHive and typically start at five. Device and platform identifiers used for security, fraud prevention, store functionality, ads, and push are described in the Privacy Policy.
You agree not to circumvent security measures or assist others in doing so.
5. User content and ownership
5.1 Your ownership
As between you and VaultsHive, you retain ownership of the documents, images, and other files you upload (“User Content”), subject to the license below and applicable law.
5.2 License you grant to VaultsHive
By uploading or submitting User Content, you grant VaultsHive a non-exclusive, worldwide, royalty-free license solely to:
- Host, store, reproduce, transmit, and display User Content as needed to provide the Service to you and to people you authorize (including via share links and collaborators)
- Create technical derivatives reasonably necessary to operate the Service, such as thumbnails, preview images, extracted text, embeddings or similar vectors, and other processed files
- Process User Content for indexing, Hive Search, Local preview, Public AI Analyze, reminders, organization, safety, and product features, subject to our Privacy Policy
- Enforce these Terms, protect users, and comply with law
This license ends when your User Content is deleted from our systems, except to the extent we retain copies as described in these Terms or the Privacy Policy (e.g., backups, legal holds, or residual copies removed on a rolling basis).
We do not claim ownership of your User Content for its own sake. We do not sell your private User Content to third parties as a stock-document or advertising product.
5.3 How files are stored (not a backup)
VaultsHive aims to retain native file types on primary media storage where the product supports it (for example, a PDF remains a PDF). Preview thumbnails and similar derivatives may be generated separately. Original camera RAW or other specialized formats may still be converted or rejected depending on product rules.
You are solely responsible for maintaining primary, original copies of important files outside the Service. VaultsHive is not a backup service, disaster-recovery vault, or substitute for your own backups. Users often assume “cloud” means backup—it does not, for these Terms.
Exports and downloads from the Service reflect what VaultsHive stores, which may include processed previews that differ from your first upload.
6. Your representations
You represent and warrant that:
- You own your User Content or have all rights, licenses, consents, and permissions needed to upload it and grant the license in Section 5.2
- Your User Content and your use of the Service do not violate these Terms, any agreement with a third party, or applicable law
- You will not upload or distribute content you know or should know is illegal, infringing, or harmful (see Section 8)
- You understand that Public AI Analyze may send document-derived content to third-party AI providers when you choose to run it, and you will not use those features on content you are not permitted to process that way
7. Share links, presigned URLs, and access responsibility
7.1 How access works
The Service may grant access to User Content using time-limited, restricted URLs (for example, presigned URLs or equivalent tokens). Shared content is not intended to be indexed like a public website by search engines when access is limited to tokenized links as designed; however, anyone who obtains a valid link may be able to access the content until the link expires, is revoked, or access is otherwise withdrawn.
7.2 Your responsibility for links
You are solely responsible for:
- Who receives share links and presigned URLs
- Keeping links confidential where you intend limited access
- The security of devices and channels you use to share links
To the extent permitted by law, VaultsHive is not liable for unauthorized access that results from your sharing of a link, loss of control of a link, interception on a recipient’s device, or misuse by a recipient you invited.
7.3 Expiration and permissions
Access to shared content is temporary and governed by:
- Expiration settings configured for the share link (which may depend on your Hive plan / entitlements and product rules)
- Revocation or deletion by you or VaultsHive
- Access permissions you grant to other Hive / VaultsHive account holders or collaborators
Links may stop working when they expire, when quotas require removal, or when VaultsHive removes content or access under these Terms.
7.4 Plan-based link and storage entitlements (Hive)
Share-link caps, maximum link durations, and Hive storage GB are generally governed by your Hive storage entitlement (managed via AlbumHive Hive Subscriptions for storage upgrades). Illustrative Free-tier defaults may include limited storage and share links (for example 5 GB and 4 share links, with short link durations); exact limits are shown in-product and may change with notice.
VaultsHive may adjust product rules; material changes will be communicated as described in these Terms or in-product.
7.5 Link quota counting
Every share link you create may count toward applicable link caps—including links that are active, expired, or revoked—until the link record is permanently deleted in the product. For shared vaults, storage and link quotas for the vault generally apply to the vault owner’s entitlements, not to each contributor’s plan.
8. Acceptable use and prohibited content
You agree not to use the Service to:
- Violate any applicable law or regulation
- Upload, store, or distribute child sexual abuse material (CSAM) or exploit minors in any way (zero tolerance). VaultsHive may report to law enforcement and take other steps as required or permitted by law (exact obligations vary by jurisdiction)
- Upload or distribute non-consensual intimate imagery, harassment, hate speech, credible threats, terrorism-related content, or extreme violence (subject to reasonable exceptions for journalism, art, or law where applicable and permitted)
- Infringe intellectual property or other rights of others
- Distribute malware, attempt unauthorized access, or interfere with the Service
- Misrepresent your identity, manipulate billing or eligibility, or abuse payment or credit systems
- Use the Service for unlawful distribution of sexually explicit material or in any way that violates app store rules or VaultsHive policies communicated to you
- Attempt to use AI features to bypass access controls, exfiltrate others’ private vaults, or violate third-party terms
VaultsHive does not warrant that all uploads are pre-screened before use. Enforcement may combine automated signals, human review, and user reports.
9. Reporting, moderation, strikes, and suspension
No monitoring obligation. VaultsHive has no obligation to monitor all User Content on the Service or to pre-screen uploads. We may nonetheless review, investigate, and enforce these Terms where we deem appropriate or where law requires, as further described in §8 and below.
9.1 Reporting
VaultsHive provides mechanisms to report abusive or infringing content (for example, Report controls on shared link viewers where available). Depending on the issue type you select (Abuse or Copyright / IP), in-product reports are routed to [email protected] or [email protected] (see the Privacy Policy). Reports may be subject to CAPTCHA (such as Cloudflare Turnstile) and rate limits. Filing a report alone does not notify the content owner in the ordinary course, to reduce harassment and false alarms; see the Privacy Policy for how report data is handled.
You may also use the contact and copyright channels described in these Terms and the Privacy Policy.
9.2 Enforcement
VaultsHive may, in its discretion:
- Remove or restrict User Content
- Disable or delete share links
- Suspend or terminate VaultsHive access or accounts
- Refuse service
HiveApp Technologies LLC reserves the right to refuse service to any user, including to decline registration, restrict features, or suspend or terminate access, for any reason permitted by law (including abuse, fraud, legal risk, unpaid charges, or operational limits), with or without prior notice where permitted by law.
VaultsHive may apply compliance strikes or similar account-level measures for confirmed violations. Where product rules state, after repeated confirmed violations (for example, three qualifying strikes for certain media violations), VaultsHive may suspend VaultsHive access. For paid VaultsHive purchases, suspension for compliance reasons may be preceded by refund of amounts VaultsHive determines in accordance with policy and payment-provider capabilities (reasonable efforts where technical or payment errors occur). Unused analysis credits are otherwise non-refundable on voluntary suspend or delete (see §11.4 and §14).
9.3 No guaranteed timelines
VaultsHive reviews reports in good faith but does not guarantee a specific response time or outcome unless required by law.
9.4 Appeals
If you believe enforcement action was mistaken, you may contact [email protected]. Additional appeal rights may apply in your jurisdiction; see the Privacy Policy.
10. Copyright and intellectual property
10.1 VaultsHive property
The Service, including software, branding, logos, and documentation (excluding your User Content), is owned by VaultsHive / HiveApp Technologies LLC or its licensors and is protected by intellectual property laws.
10.2 Your feedback
If you submit feedback or suggestions, you grant VaultsHive a perpetual, irrevocable, worldwide, royalty-free license to use them to improve the Service without obligation to you.
10.3 Copyright complaints (DMCA) — notices and designated agent
If you believe content on the Service infringes your copyright, you may send a notice to our designated agent. Under U.S. law, a valid DMCA notice must include the information required by 17 U.S.C. §512(c)(3). For users outside the United States, we will use reasonable efforts to follow the DMCA process as a standard; we will also use reasonable efforts to consider notices that meet the requirements of applicable local laws.

In-app or web “Report” flows do not replace formal notices where the law requires specific elements or delivery to the designated agent.
10.4 DMCA takedown and counter-notification procedure
Upon receipt of a valid notice of claimed copyright infringement, VaultsHive will promptly remove or disable access to the allegedly infringing material, consistent with applicable law.
VaultsHive will make reasonable efforts to notify the affected user (for example, the account holder or uploader) and provide information about the claim and instructions for submitting a counter-notification, where we can identify a user and doing so is consistent with law and safety.
If you believe that your content was removed or disabled by mistake or misidentification, you may submit a counter-notification that complies with 17 U.S.C. §512(g)(3), including:
- Your physical or electronic signature
- Identification of the material that has been removed or disabled and the location at which the material appeared before it was removed or disabled
- A statement under penalty of perjury that you have a good faith belief that the material was removed or disabled as a result of mistake or misidentification
- Your name, address, and telephone number, and a statement that you consent to the jurisdiction of the Federal District Court for the judicial district in which your address is located (or the Northern District of Texas if your address is outside the United States), and that you will accept service of process from the person who provided the original infringement notification or an agent of that person
Send counter-notifications to the designated agent in §10.3.
Upon receipt of a valid counter-notification, VaultsHive will forward it to the original complaining party. VaultsHive will replace the removed material or cease disabling access to it not less than 10 nor more than 14 U.S. business days after forwarding, unless the complaining party notifies VaultsHive that it has filed a court action seeking to restrain the user from engaging in infringing activity relating to the material on the Service.
VaultsHive may permanently delete content that has been subject to a takedown notice if no valid counter-notification is received within a reasonable period of time, subject to technical capability and law.
10.5 Repeat infringer policy
VaultsHive will terminate, in appropriate circumstances, the accounts of users who are determined to be repeat infringers in accordance with applicable law (including 17 U.S.C. §512(i) where it applies).
11. Credits, billing, taxes, and ads
11.1 What VaultsHive sells vs what AlbumHive sells
- VaultsHive offers a Free Vault experience (including a signup analysis-credit grant where implemented) and one-time analysis credit packs (and other feature purchases where offered).
- Hive storage GB upgrades are sold through AlbumHive Hive Subscriptions. VaultsHive does not sell AlbumHive storage capacity as an in-app storage subscription inside VaultsHive.
HiveApp Technologies LLC reserves the right to change credit-pack pricing, credit amounts, ads-free windows, feature entitlements, and related fees at any time. Changes may apply to new purchases immediately. We will provide notice of material price or pack changes as described in §1.4 or in-product (and, for Apple or Google Play products, as those stores require). A price change does not by itself change credits you already hold. Store list prices may also change under Apple’s or Google’s rules.
Current illustrative credit packs (subject to change in-product):
| Offer | Typical price (USD) | Credits (illustrative) | Ads-free window (from that purchase) |
|---|---|---|---|
| Free Vault (signup) | $0 | ~100 credits (where implemented) | None — ads may show |
| Micro Vault Plan | $5 | 50 credits | 2 calendar months |
| Pro Vault Plan | $20 | 250 credits | 4 calendar months |
| Premium Vault Plan | $50 | 700 credits | 6 calendar months |
Credits are consumed by Local preview, Public AI Analyze, and other credit-priced features as disclosed in-product (for example page-equivalent metering, speech-to-text, or text-to-speech). Insufficient credits do not block Save of files when Hive storage entitlement allows the upload; analysis may remain pending until you top up.
11.2 One wallet and twelve-month expiry
VaultsHive uses one analysis-credit wallet (not per-lot FIFO):
- A new paid pack adds those credits to your remaining balance and sets one expiry for the entire remaining wallet: purchase time + 365 days.
- Older leftovers ride the new date. Buying again does not keep a sooner expiry on leftover credits.
- When that single date hits, the wallet goes to 0 (including leftovers).
- Free-trial / signup / admin / promo grants expire 12 months after grant if you never buy a paid pack; they do not start an ads-free window.
- The date shown in-product is that single wallet expiry.
Credits are non-refundable on voluntary suspend or delete, and unused credits are forfeited when the wallet expires, except where required by law.
11.3 Web vs mobile purchases
Credit packs and other paid VaultsHive items may be purchased:
(a) on the web via Stripe (for example Hive Subscriptions / billing surfaces at https://app.vaultshive.com or the then-current app URL); and/or
(b) in the mobile apps via Apple or Google Play consumable / IAP products, where enabled in-product.
Store purchases are also subject to Apple’s or Google’s terms. Refunds, billing disputes, and cancellation for store purchases may be governed primarily by the store’s rules. VaultsHive controls entitlements (including credit balances and ads-free dates) based on verified store and/or Stripe status. VaultsHive credit packs are one-time; there is typically no VaultsHive monthly subscription. Recurring Hive storage billing, if any, is an AlbumHive product.
11.4 Currency, taxes, and non-refundable credits
Unless otherwise stated in-product, prices are denominated in U.S. dollars (USD). Your bank or card issuer may apply foreign exchange rates or fees.
Taxes may be calculated and collected where applicable (for example via Stripe). Final amounts are shown at checkout.
Credit packs are generally one-time and non-refundable except where required by law or by Apple/Google rules. That includes unused credits after suspension, account deletion, wallet expiry, or compliance action, except where we expressly refund under §9.2 or law requires it.
11.5 Payment processing
Web payments are processed by Stripe (or another processor we designate). Mobile in-app purchases, where offered, are processed by Apple or Google. VaultsHive does not store full payment card numbers on its own servers in the ordinary course.
11.6 Failed payments and chargebacks
If a payment fails, VaultsHive may restrict certain paid actions until payment succeeds. If you initiate a chargeback or payment dispute, VaultsHive may suspend access to paid features while the dispute is open and take other actions permitted by law and payment rules.
11.7 Where paid purchases are offered
Paid credit packs and similar purchases may be offered only in countries or regions VaultsHive explicitly supports (for example an allowlisted billing-country set—subject to change in-product). Free access may be available more broadly. You must provide accurate billing-country and eligibility information.
11.8 Native store purchases (Apple / Google Play)
Where VaultsHive offers credit packs or other paid items through the Apple App Store or Google Play:
- The store of record for that purchase is Apple or Google, as applicable.
- Purchase confirmation, refunds, chargebacks, and many billing disputes are handled under Apple’s or Google’s terms and support processes.
- VaultsHive grants Service entitlements after verifying purchase status (including via store server notifications).
- Device and platform identifiers used for security, fraud prevention, store functionality, ads, and push (including Advertising ID–related permissions on Android) are described in the Privacy Policy.
11.9 Advertising
Free VaultsHive (and leftover free/trial credits before any paid ads window) may show third-party ads (Google AdMob inline banners in the iOS and Android apps; AdSense on web if and when enabled). Ads are inline banners in designated page slots, not a requirement that you click an ad to use the Service.
Who sees ads. Ads are per app. A paid VaultsHive credit pack can hide ads in VaultsHive only, and only while both are true: (1) the ads-free date is still in the future, and (2) your analysis credit balance is greater than zero. Ads-free windows are 2 months (Micro), 4 months (Pro), or 6 months (Premium) from that paid purchase. A later paid pack extends the date using max(existing date, new purchase + that pack’s window) — it never shortens an existing date. Ads return on whichever happens first: that date, or your credit balance reaching zero. AlbumHive storage plans do not remove VaultsHive ads. LooksHive packs do not remove VaultsHive ads. Free / admin / promo grants do not start an ads-free window.
Ad serving is described in the Privacy Policy. VaultsHive shows non-personalized ads only and does not request App Tracking Transparency permission; you can reset or limit advertising identifiers in device settings. We do not sell your private documents as advertising inventory.
12. Storage limits, downgrades, and over-quota enforcement
You are responsible for monitoring your usage and remaining within the Hive storage, link, device, and other limits of your current entitlements. Hive storage is shared across AlbumHive, VaultsHive, and LooksHive. Exceeding limits can result in restriction or deletion as described below and in-product.
If your usage exceeds Hive storage or link limits (including after cancellation or downgrade of AlbumHive storage plans), VaultsHive may restrict certain actions (such as creating new vaults or new share links, or running analysis) until you delete content, delete link records, or upgrade Hive storage via AlbumHive.
If your account remains out of compliance with applicable storage and/or link limits for 90 consecutive days, VaultsHive / Hive may delete vaults, links, and related data in accordance with product rules, potentially beginning with the most recently uploaded content first until compliant. We intend to provide notices as you approach enforcement (for example, reminders in the 30 / 15 / 7 / 1 day window before deletion becomes eligible, where implemented), but you should not rely on any particular number of reminders. Loss of data from over-quota enforcement is your risk if you do not bring the account into compliance or export content in time.
13. Data storage, reliability, and backups
13.1 Not a permanent archive or backup
VaultsHive is intended as a document vault, analysis, and sharing service. It is not a guaranteed permanent archival or disaster-recovery system, and not a backup solution. Maintain your own primary copies (see also §5.3).
13.2 Cloud infrastructure
VaultsHive uses reputable cloud infrastructure. The Service is operated using Google Cloud Platform for application hosting (for example, Cloud Run or as deployed); Cloudflare for global delivery, including Load Balancing (LBaaS), CDN, R2 object storage (designed for high durability), Turnstile, and related edge/security services; and MongoDB Atlas for application data. Transactional email may be sent via Zoho Mail (or similar) from [email protected]. Private media is typically accessed via application-issued presigned URLs to object storage, not by public directory listing. No cloud storage is immune to loss, corruption, outage, or attack.
13.3 No warranty of perfect security or availability
While VaultsHive takes reasonable technical and organizational measures to protect the Service, we do not warrant that the Service will be uninterrupted, error-free, or free of loss. We cannot guarantee 100% protection against data loss due to hardware failure, software bugs, cyberattacks, misconfiguration, or force majeure. Sending content to a public LLM has additional residual risk described in §3.1.
13.4 Object storage classes and latency
Processed media and previews may use different storage classes; retrievals may be slower for colder objects. VaultsHive does not guarantee identical load times for all objects.
13.5 Disaster recovery
Unless VaultsHive explicitly offers a separate backup or replication product and you subscribe to it, do not assume that User Content is replicated in real time to a second region for hot disaster recovery.
13.6 Private vs public access patterns
Private User Content is intended to be accessed through authenticated sessions and application-issued time-limited URLs, not by anonymous public listing of your library. Certain non-sensitive assets (such as marketing images or email logos) may be served from publicly readable locations or custom domains as configured by VaultsHive.
13.7 Data location
VaultsHive currently processes and stores data in the United States in systems operated by us or our service providers. VaultsHive does not commit to EU-only or other single-jurisdiction residency unless we explicitly state a specific offering.
14. Retention and deletion
14.1 Expired share link records
VaultsHive may delete metadata for share links that have been expired for an extended period (for example, more than 365 days in expired state), as part of system hygiene.
14.2 Suspended accounts
For accounts suspended for policy or billing reasons, if the account is not reactivated within a defined period (for example, 90 days, where applicable), VaultsHive may delete associated vaults, links, and media subject to law. Unused analysis credits are not refunded on suspend.
14.3 In-app notifications
VaultsHive may purge in-app notifications older than a defined period (for example, 90 days), subject to implementation.
14.4 Account suspension (this app only)
Suspension is per app, not Hive-wide. Where the product provides it, you may suspend VaultsHive (or the Hive app you are in) to limit or end access to that app only. You can still sign in to the other Hive apps (AlbumHive and LooksHive, or VaultsHive if you suspended a sibling).
What stays. Suspension does not delete your Hive identity or your data in the other Hive apps. Hive storage (GB) remains available so those apps can keep working. If you suspend AlbumHive, we treat any AlbumHive paid storage plan as ended for that app and the Free 5 GB Hive allotment stays so VaultsHive and LooksHive can continue to use shared storage. AlbumHive share-link entitlements stay with the Hive storage plan. If you suspend only VaultsHive, AlbumHive storage and AlbumHive share links keep working. Unused VaultsHive analysis credits stay on the wallet but you cannot use VaultsHive until you reactivate; they remain non-refundable and continue to follow the one-wallet expiry in §11.2.
What stops. You lose access to the suspended app’s product features until you reactivate that app (or until we lift a policy/billing suspend). We may best-effort cancel that app’s recurring subscription (Stripe or Google Play) when you suspend a paid app; you remain responsible for confirming cancellation in Stripe, Google Play, and the Apple App Store. Apple subscriptions cannot be cancelled by us. VaultsHive packs are typically one-time, so there may be no VaultsHive recurring item to cancel.
Not deletion. Suspension is not complete account deletion. To wipe the Hive identity and data in AlbumHive, VaultsHive, and LooksHive, use Delete account (§14.5).
14.5 Complete account deletion (Hive-wide, immediate)
Eligibility. Subject to product rules, you may permanently delete your Hive account and credentials from Manage Profile using the Delete account control (or equivalent). Deletion is immediate for Free and paid accounts alike; there is no scheduled or end-of-period deletion option. Before deleting, you must tick the acknowledgement checkbox shown in the confirmation dialog. Compliance-locked or restricted accounts may not use self-service deletion; contact [email protected].
Hive-wide effect. Deletion is Hive-wide, not limited to the app you delete from. It removes your single Hive identity and cascades deletion of your data in AlbumHive, VaultsHive, and LooksHive (where used), regardless of which app you started the deletion in. In-product warnings name those three apps only. SlamHive is not deleted and is not part of this wipe.
Subscriptions and store billing — your responsibility; our cancel is best effort only. Deleting your Hive account does not by itself guarantee that Stripe, Google Play, or the Apple App Store will stop billing you. You are responsible for cancelling every recurring subscription and unused auto-renewal yourself in:
- Stripe (AlbumHive web billing / Customer Portal, and any sibling Stripe packs if used)
- Google Play (Play subscription / purchase settings)
- Apple App Store (Settings → [your name] → Subscriptions)
We may make a best effort to cancel Stripe and Google Play bindings we can see. That effort can fail, be delayed, or be incomplete (for example store delays, a purchase on another Google account, or a missing token). Apple App Store subscriptions cannot be cancelled by us. If you do not cancel in each store, Stripe, Google, or Apple may continue to charge you after your Hive data is gone. No refund of subscription fees for unused days and no refund of purchased or unused analysis credits (which are forfeited), except where required by law.
What is deleted. Complete deletion removes your account record (including authentication, OAuth links, push tokens, and contact fields we store for the account), your vaults, artifacts, share links, groups, reminders, analysis results, and other User Content and metadata you own, and removes you as a contributor or group member on other users’ vaults and groups. Files you contributed to another user’s vault may remain; attribution may display as “Unknown” after your account is deleted, as described in the Privacy Policy.
Permanent and irreversible. Deletion causes permanent data loss. Deleted accounts and content cannot be recovered, restored, or undone, and deletion cannot be cancelled once confirmed.
What may be retained. Certain records may be retained where law, tax, billing, abuse prevention, or legal process requires, or for limited backups, as described in the Privacy Policy.
Stopping use without deletion. If you wish to pause one Hive app without wiping the others, suspend that app (§14.4). That is not a billing cancel you can rely on — still confirm Stripe, Play, and App Store. Or remove User Content where in-product controls allow, or contact [email protected].
15. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, VAULTSHIVE DISCLAIMS ALL WARRANTIES, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT. VAULTSHIVE DOES NOT WARRANT THAT THE SERVICE WILL MEET YOUR REQUIREMENTS OR THAT LOCAL PREVIEW, PUBLIC AI ANALYZE, HIVE HELP, REMINDERS, OR OTHER FEATURE OUTPUTS WILL BE ACCURATE OR RELIABLE.
Some jurisdictions do not allow certain disclaimers; in those jurisdictions, disclaimers apply to the fullest extent permitted.
16. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
- VAULTSHIVE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, GOODWILL, OR REPUTATION
- VAULTSHIVE’S TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF OR RELATING TO THE SERVICE OR THESE TERMS IS LIMITED TO THE GREATER OF (A) THE AMOUNTS YOU PAID TO VAULTSHIVE FOR THE SERVICE IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO LIABILITY, OR (B) FIFTY U.S. DOLLARS (USD $50) IF YOU HAVE NOT HAD SUCH PAYMENT OBLIGATION
These limitations do not apply where prohibited by law (for example, gross negligence, willful misconduct, or death/personal injury caused by negligence, as applicable).
17. Indemnity
To the maximum extent permitted by law, you will indemnify, defend, and hold harmless VaultsHive and its affiliates, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable attorneys’ fees) arising out of: (a) your User Content; (b) your use of the Service in violation of these Terms (including AI Analyze of content you were not permitted to process); or (c) your sharing or loss of share links or presigned URLs, except to the extent caused by VaultsHive’s willful misconduct or as prohibited by law.
18. Termination
You may stop using the Service at any time. VaultsHive may suspend or terminate your access for breach of these Terms, risk, legal process, non-payment, or operational reasons, with or without notice where permitted by law.
Upon termination, your right to access the Service ceases. Provisions intended to survive (including intellectual property, disclaimers, limitations, indemnity, and dispute provisions) survive termination.
19. Governing law; binding arbitration; class action waiver
19.1 Governing law
These Terms are governed by the laws of the State of Texas, United States, excluding its conflict-of-law rules, except that the Federal Arbitration Act governs the interpretation and enforcement of §19.2.
19.2 Binding arbitration
Please read this section carefully—it affects your legal rights.
Except where §19.4 applies or where prohibited by law, any dispute, claim, or controversy arising out of or relating to these Terms, the Service, or your relationship with VaultsHive (including non-contractual disputes) will be resolved by binding arbitration administered by the American Arbitration Association (AAA) or JAMS, at VaultsHive’s election, under that provider’s Consumer Arbitration Rules (or successor rules) in effect at the time of the dispute. The seat of arbitration will be Collin County, Texas, or another location mutually agreed in writing, unless the applicable rules or law require otherwise.
Arbitration will be conducted remotely (for example, by videoconference or other electronic means) where appropriate under the applicable provider’s rules and as the parties and arbitrator agree.
A single arbitrator will decide the dispute. The arbitrator’s decision is final and binding, except for a limited right of appeal under the FAA or applicable law. Judgment on the award may be entered in any court of competent jurisdiction.
Fees and costs follow the applicable provider’s rules, subject to any fee waivers or cost-shifting those rules or law require.
You and VaultsHive each waive any right to a jury trial to the fullest extent permitted by law.
19.3 Class action waiver
To the fullest extent permitted by law, all arbitrations and other proceedings must be conducted only on an individual basis. You and VaultsHive waive any right to bring or participate in a class action, representative action, private attorney general action, or consolidated or joint proceeding as a plaintiff or class member. If this class waiver is found unenforceable as to a particular claim, then §19.2 does not apply to that claim (which may proceed in court as provided below), but the waiver remains enforceable for all other claims.
19.4 Exceptions (small claims; injunctive relief)
Either party may bring an individual action in small claims court in Collin County, Texas (or your county of residence if the court has jurisdiction and the action stays in that court), if the claim qualifies.
Either party may seek temporary or preliminary injunctive relief in a court of competent jurisdiction solely to protect intellectual property or confidential information, without waiving arbitration for all other disputes.
19.5 Opt-out of arbitration (30 days)
You may opt out of §19.2 and §19.3 within 30 days of the first date you accept these Terms or first use the Service (whichever is earlier) by sending a clear written notice to [email protected] (subject line: “Arbitration opt-out”) with your name, email associated with your account, and an unequivocal statement that you opt out of arbitration and the class waiver. Opting out does not affect other Terms. If you do not opt out, you are bound by §19.2 and §19.3.
19.6 Venue for court proceedings
If a dispute proceeds in court (where permitted by this Section), you and VaultsHive consent to the exclusive jurisdiction of the state and federal courts located in Collin County, Texas, except where law forbids exclusive venue.
